SCHEDULING APPOINTMENTS

Consultations are available by appointment only. New client appointment enquiries can be made by phoning reception on (03) 5173 6863.

Sometimes there are significant barriers to seeing a psychologist face-to-face, so if you think that telehealth (video) sessions are the best fit for you, please reach out to us to discuss your needs further.

We offer appointments on business days and during business hours.

We cannot accommodate individual requests that all appointments fall outside of school or working hours, due to us being heavily booked with a large client base. 

Whilst we do our best to provide you with varied appointment options, we also aim to alternate popular appointment time slots amongst our valued clients. Thank you for your understanding and fairness.

CLINIC FEES

  • Consultation Fees

    The Australian Psychological Society recommended fee for private psychology sessions is currently set at $300. In order to make psychology services more accessible, our fees are currently set at:

    $200-$215 per session (50 minutes), with Medicare rebates ($92.90-$136.65) available for eligible clients under the Better Access to Mental Health Care initiative. Read more: https://www.psychology.org.au/for-the-public/Medicare-rebates-psychological-services/Medicare-FAQs-for-the-public

    We do not offer bulk-billed services.

    All fees are to be paid on the day of the consultation.

  • Report & Letter Writing Fees

    Should you request a letter or report from us for a relevant purpose, we will advise you of the approximate time required from us to accommodate this, and the fee for our time in preparing this.

    Should you need written documentation from us, it is recommended that you provide us with a minimum of four weeks’ notice when making your request, so we can book this administration time out in our calendar.

    Fees must be paid prior to the release of requested letters and reports.

  • Assessment Fees

    Assessment consultation fees vary depending on your needs. For a personalised quote, please contact our friendly reception team with your enquiry.

    Medicare rebates apply in limited circumstances only.

    All fees must be paid on the day of assessment commencing.

Your first appointment

Prior to your first appointment you will typically receive a text reminder (if you’ve given us a mobile phone number) with your appointment date, appointment time, and details to access our clinic waiting room area. Our text reminders ask that you reply ‘Yes’ to confirm your appointment, or call reception for all queries, cancellations, or rescheduling.  

It is completely normal to feel nervous as your first psychology appointment approaches. After all, you’re visiting a new place, and meeting a new person, for a start. Feel free to arrive approximately 10-15 minutes early, so you can get familiar with the clinic space, and fill out new client paperwork. If you have a referral and/or Mental Health Treatment Plan from your General Practitioner (GP) or another professional, you will need to bring a copy of this, and your Medicare card, to your first appointment.

The first session generally starts with your psychologist’s introduction, and an overview of important general information about psychology, such as confidentiality. Gradually, as a client feels more comfortable in the clinic space and with their psychologist, we can begin to discuss the issues that have brought you to the session. Over time, these discussions help you and your psychologist work together to better understand the basis of any difficulties, identify what maintains the current challenges, and to develop a therapy plan addressing your specific goals.

 

Cancellation Policy

Mind Matters has a strict two-business-day cancellation policy. If you need to cancel your appointment, please contact us with no less than two business days notice to avoid cancellation fees. This is to ensure that we have sufficient opportunity to offer this appointment to other clients in need of support.

If you have to cancel your appointment at short notice, the following cancellation fees will apply:

  • 0-1 business days or non-attendance: Full session fee payable

  • 1-2 business days notice: 50% of session fee payable

  • Cancellation fees are to be paid prior to attending any future sessions.

Please also note that rebates through Medicare or private health insurance are not available for unattended or cancelled appointments.
